This policy explains what personal information [LEGAL ENTITY NAME], doing business as Veritas Professional Services ("Veritas", "we", "us"), collects through veritasprofessionalservices.com, the demo portal at demo.veritasprofessionalservices.com, and the Q&A assistant on both (together, the "Site"), and how we use it.
This policy covers the Site only. Information we receive during a client engagement, such as interview recordings, transcripts, company documents and client portal content, is handled under that engagement agreement and any confidentiality agreement that applies to it.
01Information we collect
Information you give us
- Contact form. Your name, email address, phone number, firm, where you are in the deal, and your message.
- Q&A assistant. Questions you type into the assistant are answered in your browser and are not sent to us. If you choose "Get in touch with someone", we receive your name, email address, phone number, firm (if given), your question, and the questions you asked the assistant beforehand, so we can answer you in context.
- Emails and calls. Whatever you choose to include when you email or call us.
Information collected automatically
- Technical information. When you visit the Site, our hosting provider receives standard request information such as your IP address, browser and device type, the pages you request and the time of the request. We use it to deliver the Site, keep it secure, limit abuse (for example, by limiting how often a form can be submitted from one IP address) and troubleshoot problems.
- Bot checks. Our forms use Cloudflare Turnstile to tell people from automated bots. Turnstile collects signals from your browser and device for that purpose.
We don't use advertising trackers or third-party analytics on the Site.
02Cookies and browser storage
The Site doesn't use advertising or analytics cookies. It stores a few settings in your browser's local storage, which stay on your device and aren't sent to us:
- your light or dark display preference; and
- on the demo portal, your progress in the sample tools (for example, checklist items you've ticked).
You can clear these at any time in your browser settings. Cloudflare may set cookies or use similar technology needed for security and bot protection.
03How we use information
- to respond to your inquiry and talk with you about a possible engagement;
- to send you a confirmation that we received your message;
- to keep the Site secure and prevent spam, fraud and abuse;
- to operate, maintain and improve the Site; and
- to comply with legal obligations and enforce our Terms of Service.
We don't sell your personal information, and we don't share it for cross-context behavioral advertising.
04How we share information
We share personal information only with service providers that help us run the Site and our business, and only as needed for them to do so:
- Cloudflare, which hosts the Site and provides security, rate limiting and bot checks (Turnstile).
- Resend, which delivers the emails sent from our forms.
- Google, which provides our business email (Google Workspace). Fonts on the Site are also loaded from Google Fonts, which receives your IP address when your browser requests them.
We may also disclose information if required by law or legal process, to protect the rights, property or safety of Veritas or others, or as part of a merger, acquisition or sale of all or part of our business.
05How long we keep it
We keep messages and contact details you send us for up to two years after our last contact with you, or longer if we become engaged with you or need them to meet a legal obligation. Technical logs are kept by our service providers for their standard retention periods, which are generally short.
06Security
We use reasonable safeguards to protect personal information, including encrypted connections (HTTPS) for the whole Site. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
07Your choices and rights
You can ask us to tell you what personal information we hold about you, correct it, or delete it, by emailing njebb@veritasprofessionalservices.com. Depending on where you live, you may have additional rights under state privacy laws. We'll respond to requests as required by applicable law, and we won't treat you differently for making one. We may need to confirm your identity before acting on a request.
08Children
The Site is meant for businesses and professionals. It isn't directed to children, and we don't knowingly collect personal information from anyone under 18.
09Where information is processed
Veritas is based in the United States. Our service providers may process information in the United States and other countries where they operate.
10Changes to this policy
We may update this policy from time to time. When we do, we'll change the effective date at the top of this page.
